Enter Vehicle Information (CPAAUTO)

Fields

Use the Person/Vehicle form (CPAAUTO) to associate a vehicle with an individual or organization and to enter information about that vehicle.

You can use this form to:

• Update vehicle records if you have security access to view at least one case with which the vehicle is associated or the vehicle is not associated with any cases.

• Delete vehicle records, but only if the vehicle is not associated with any case.

Multiple records can use the same vehicle number; however, when one record is deleted, all vehicle records with the same vehicle number are deleted. More about updating vehicle records

If the vehicle is associated with a case you do not have access to view, it will appear as if the vehicle is not associated to any cases. However, you will not be able to update or delete the record.

ACS Contexte maintains a history of vehicle information by creating a history record if the party ID, vehicle number, or plate information changes. Changes to other fields do not cause a history record to be created. You can view the record before and after changes both here and on the Vehicle Query form (CPIAUTO).

To enter a vehicle

1. Open the Person/Vehicle form (CPAAUTO).

2. Enter a Vehicle Number to help ACS Contexte identify the vehicle.

If you do not have the manufacturer's VIN (vehicle identification number), you can enter some other identifying number or type NEXT for a system-generated number. You can leave this field blank as well.

3. Enter the Year, Make and Model of the vehicle. You can select the make from the list.

4. Enter the Color and Type of the vehicle. You can select the color from a list.

5. Enter the Number on the party's Title to the vehicle.

6. Enter the End Date for the party's ownership of the vehicle.

7. Enter the Plate Number, then enter the St/Prov (State/Province) of the vehicle license or select it from the list.

8. Enter the license Plate Issued date and the license Plate Expired date. If the date is in the current month and year, just enter the day and Tab to the next field. The system fills the complete date.

9. Enter or select the Owner ID. The owner's name displays in the unlabeled field to the right.

You can query on vehicle records on this form. However, if you are not authorized to view non-parties to a case and the auto record is associated with a person/organization who is not a party to any case, then you will not see the auto record. If the auto was associated with other parties to a case in the past, you will see the auto record but will not see the non-party owner record.

10. The Party Information block displays the following information about cases and parties associated with the vehicle. The parties are usually people or organizations other than the owner. Examples could be a person who was driving the vehicle, a passenger in the vehicle, or a company using the vehicle.

• Case ID

• Party Type of the person or organization associated with the vehicle

• Party ID and Name

11. When finished, Exit the Person/Vehicle form (CPAAUTO).
