Approve Batch-Scanned Images Manually (CEAIMQA)
Use the Imaging QA Update form (CEAIMQA) to manually approve images after they have been scanned. Approving images involves verifying the correct document was scanned and associated with the correct host record. If the image was not associated with the correct host record, you can make the correction on this form. Considerations
Whether or not you have to manually approve
images depends on how your site code is set up. If the person responsible
for setting up your system has not selected QA Step Required for your
site code on the Document Management System Control form (CEACTRL), then
images are automatically approved when you mark them as scanned on the
Imaging Batch Update form (CEAIBAT).
To approve images manually
Open the Imaging QA Update form (CEAIMQA). The form opens in query mode.
To view and approve all images in all open batches, cancel the query and leave the fields at the top of the form blank. Select Next from the Block menu to move to the QA fields; all unapproved images from all open batches are returned. Otherwise, to narrow your search:
Enter an Image Site Code or select one from the list of values (LOV). You can leave this field blank.
Enter a Batch ID or select one from the LOV.
From the Query menu, select Execute. The system fills the batch description and Opened, Closed, and Scanned dates and times for the batch.
Select Next from the Block menu to move to the QA fields. Information on the oldest image (the one entered first) in the batch displays in the fields, or if some images have already been approved for this batch, the oldest unapproved image.
Host ID. Displays the ID of the case, person, or nonperson associated with the image. The case description or the name of the person or nonperson displays in the unlabeled field below the ID.
Host Docket Code. Displays the docket code if the scanned image is associated with a docket. The docket description displays in the unlabeled field below the Host Docket Code.
Sign-in as needed to your third party document management system to view the image. While you have the image open for viewing and before you approve it, it will have a reserved status and no one else can view it. More on image status
To approve the image, click Enter while in the QA block. The next unapproved image displays.
To skip an image and move to the next unapproved image, select Skip Image in the navigation frame. The RS (Reserved) status for the skipped image reverts to SC (Scanned) and the next unapproved image becomes reserved.
If an image has been associated with the wrong host record, you can do one of two things.
Select the correct host record in the QA block and click Enter.
You can open the Process Submission Control
form (GJAPCTL) and enter the document ID and other parameters to print
a new bar code label with the corrected information using the Imaging
Bar Code Print Process (CEPIBAR). Attach the new label to the hard copy.
Remember that the image bar code will not match the hard copy bar code
or the information entered in Contexte. This might prove confusing
for future viewers of the image.
Delete the image, go to an image-enabled maintenance form, add it to a new batch or one already open, print a bar code and affix it to the first sheet of the document, scan it again, and approve it. All information will then match.
Image-enabled maintenance forms are Case
Initiation Maintenance (CMAINIT), Identification (CPAIDEN), and Docket
Association Entry (CDADOCT).
When finished, Exit the Imaging QA Update form (CEAIMQA).
