View Content File List and Details (DMS Window)
If a record on a DMS-enabled form displays a check in the Image box, a content file is attached to that record. If your security level is equal to or greater than the security level of the content file, you can view the content.
If the content file is attached to a sealed
case or sealed docket and you do not have access to view sealed cases
or sealed dockets, you will not be able to view the content file regardless
of your security level.
To view a content file and details
Select DMS Window in the navigation frame to open the DMS Window. The Images tab of the DMS Window shows a hierarchical list of attached content files under a host record. It may display buttons for various DMS actions depending on how your system is set up.
Select the desired content file in the hierarchical list.
To view the content file, select DMS View in the navigation frame or the View button on the DMS window.
To view details about the highlighted content file, click the Detail tab of the DMS Window. The following information displays:
Content Type. This is the code for the type of content contained in the file. The person responsible for setting up your system defines these codes on the Document Management System Control form (CEACTRL). The Content Type description appears to the right.
Security. The security level of the content type. The person responsible for setting up your system assigns default security levels on CEACTRL when defining the content type codes. You can change the security level on the DMS Window.
Pages. The number of pages in the content file. This field is used only in batch imaging to designate the number of pages being scanned for a specific document. If this field is blank, it indicates the content file was scanned or imported using ad hoc imaging
Status. The status of a content file. This field is only used in batch imaging. There are four potential image statuses
Image Desc (Description). Description entered by a user when scanning or importing using ad hoc imaging. If the image was scanned using batch imaging, the description defaults to the content type description, but can be changed here. In any case, this description is what shows in the hierarchical listing on the Images tab.
Document ID. ID assigned automatically by Contexte to any scanned or imported content. The format of the number depends on whether ad hoc or batch imaging is used. For ad hoc images, the ID number begins with an "A." For batch images, the ID number begins with the batch number and ends with a number indicating the order in which the content was added to the batch.
