Enter the Default Party Types to Receive a Letter (CTRLRUL)
Use the Letter Type/Party Type Rule form (CTRLRUL) to specify which party types should receive a letter. You can create rules applicable to a specific court and location, or you can create rules for all courts and locations. You can have more than one rule for a court, location, and letter type in which case the most specific will apply. Example
From the navigation frame, you can access the Alternate Parties Window to establish parties to receive a letter instead of the main party designated on CTRLRUL if the alternate party exists on the case and if the alternate party is associated with the main party on the Party form (CDAPRTY). Example
In Letter Generation, these party types automatically receive a letter generated from a paper event and printed through Job Submission. In On-Demand Print (ODP), the party types appear by default when you pull the letter up for printing on the Letter Merge form (CLALMRG); at that point, you can change them or add to them if necessary.
To enter default party types for a letter
Open the Letter Type/Party Type Rule form (CTRLRUL).
Enter the Court Code and Location Code. You can enter "XX" in either field to establish a rule for all courts and/or all locations.
Enter the desired Letter Code or select one from the list.
From the Block menu, select Next. If a rule already exists for the codes you entered, it displays now. You can update it.
If alternate
receiving parties have been defined, the Recv
Party box is checked.
Enter a Party Type or select one from the list. Enter xxxx for all types. Repeat as necessary.
The Minimum Age is a required field which primarily applies to juvenile cases. If minimum age is not a concern, enter a zero in this field.
If a party's birth date has
not been entered, the system assumes the party meets the minimum age requirement
and includes the party in the group receiving the letter."
To designate alternate parties, select the party type for whom you want to designate alternate parties to receive a letter, then select Alternate Parties in the navigation frame.
Save.
When finished entering default party types, Exit the Letter Type/Party Type Rule form (CTRLRUL).
