Create an ODP Mail-Merge Letter Template (CTRLVAR)
Use the Letter Variable Association Rule form (CTRLVAR) to select the type of information (variables) to include in an On-Demand Print (ODP) letter template and to create or save any changes to the template in Microsoft Word or WordPerfect.
When you create or edit a mail-merge
template for ODP printing, you should always do so through CTRLVAR. Do
not go directly to your word processor.
To create an ODP mail-merge template
Open the Letter Variable Association Rule form (CTRLVAR).
Enter or select a Letter Code.
From the Block menu, select Next.
Enter or select the Variable Code for each ACS Contexte variable you want to include in your template. If you need to, you can select Variables (CTRANAM) in the navigation frame to query on all available ACS Contexte variables. If you add form-specific variables to
the letter, make sure the letter is set to be called from this form on
the Letter Code Rule Maintenance form (CTRLETR).
To add any non-ACS Contexte variables to your letter template, do the following:
select Next from the Block menu;
enter a Variable code (such as CLERK NAME or COURT PHONE) and a Description ;
enter any Default Text for the paragraph. If you've defined fixed paragraphs of text using the Paragraph Definition form (CTVPARA), you can add this text to the variable by clicking the arrow next to Default Text and selecting a paragraph code. If necessary, you can enter additional text, and ACS Contexte will append it to the paragraph text you've selected.
To edit the text for an existing non-ACS Contexte variable, select Edit Non-ACS Text in the navigation frame to open an editing window. Enter any necessary changes in the window and click OK to save the changes and return to CTRLVAR.
Save.
Select Edit Template in the navigation frame to create the mail-merge template for your letter or to save any changes made to an existing mail-merge template.
When finished creating a template, Exit the Letter Variable Association Rule form (CTRLVAR).
