Update the Status of a Service Letter (COADTRA)
Use the Service Document Tracking Maintenance form (COADTRA) to search for a service letter and indicate whether the service attempt was successful. The form displays service letters created through baseline ACS Contexte or through ECI.
To update a service letter
Open the Service Document Tracking Maintenance form (COADTRA). The form opens in query mode.
To narrow your search, enter criteria in any of the following fields:
ID of the Person to whom the service letter was issued
Document ID, which ACS Contexte assigns to service letters when they are printed, and Document Code (document type)
Case ID
Date the service letter was Signed
Due Date (date by which the letter must be served)
From the Query menu, select Execute. ACS Contexte displays the service letters that meet your criteria.
Scroll to the desired service letter.
If the service attempt was successful, check the Served check box.
Whether the service attempt was successful or not, enter the date of the attempt in the Date Served field.
Enter or search for the Server ID.
Enter or select the Service Type.
Enter the Docket Code to be entered on the case for a successful (or unsuccessful) service attempt.
If the current docket is sealed and you
do not have access to view sealed dockets, you will see *SEAL or ***SEALED
DOCKET*** in place of the docket information. More Information
If the entered docket code is associated
with a case status on the Case Status Rule form (CTRCSTS), case status
is automatically updated. For more information about CTRCSTS, see the
ACS Contexte Setup Manual.
If applicable, enter or select the Reason the service attempt was unsuccessful.
Enter or search for the person To whom the letter was Served. If the person is not already entered in ACS Contexte, select Maintain IDs (CPAIDEN) in the navigation frame to add the person.
Enter or select the Address Type.
Enter or search for the Address, City, State/Prov, ZIP/PC, and Country. (If Conf Addr. is checked, this address is confidential.) More about zip code entry
Save.
To schedule a hearing, trial, or other event as a result of the service attempt, select Scheduling (CSAEVNT) in the navigation frame.
When you've finished updating the status of service documents, Exit the Service Document Tracking Maintenance form (COADTRA).
