Use the Event Scheduling form (CSAEVNT) to schedule non-paper events that you enter manually or that have been created as a result of user-defined rules. This form lets you specify parties for an event, enter a location, check and resolve schedule conflicts, and schedule other cases for the same event. Non-case related events such as staff meetings can be entered also.

Generate/DRAW20.gif If an event has been created as a result of docket or violation rules, it does not appear on CSAEVNT for scheduling until its projected date has been met. To override a projected date so you can go ahead and schedule an event, you must ready the event on the Event Planning form (CSAQSEV).

To schedule an event

  1. Open the Event Scheduling form (CSAEVNT).

  2. Enter or search for a Case ID.

  3. To create an event manually, enter the Event code or select one from the list. To schedule an event that has been generated by a rule, search for it.

  4. Generate/DRAW32.gif When scheduling events, you must conform to any event sequencing rules set up on Event Sequence Rules (CTRESEQ). These rules define the order in which events must occur (for example, a pretrial event cannot occur after a trial). For more about CTRESEQ, see the ACS Contexte Setup Manual.

  5. Assign a Priority to the event. 1 = lowest; 9 = highest.

  6. This setting does not affect scheduling; it is used by calendar reports as a way of organizing events.

  7. The Cont (Continued) field is display only and displays the number of times the event has been continued.

  8. Enter or search for a Judge ID. Once you've entered a judge ID, you can search for the judge's next available date and time by clicking the arrow next to the Judge ID field and selecting Next Available Date and Time.

  9. To search for the next available judge who is eligible to handle the event, leave the Judge ID field blank, click the arrow next to Judge ID, and select Next Available Date and Time from the Options List.

  10. If a Trial type was previously entered for the case, it displays after you enter the case ID. You can enter a different one or select it from the list of values (LOV). However, since the Trial type is associated with the case (not the event being scheduled), if you change it here you change it for the case.

  11. If the current case has related or consolidated cases, the Rel and Cons check boxes are selected. To schedule the current event on related or consolidated cases, see step 16.

  12. If you are extending an event, select Ext. For more about extending events, click here.

  13. If necessary, enter or select a Calendar Type.

  14. Enter the Schedule date and Time. Time must be entered in a 24-hour format: HH:MM.

  15. Enter the Days, Hr (Hours), and Min (Minutes) the event is expected to take. If left blank, ACS Contexte defaults to the time period specified on the Event Type Code Rules form (CTREVNT). (For more about CTREVNT, see the ACS Contexte Setup Manual or contact your system administrator.)

  16. Enter the Room or select one from the list. The system fills Locn (Location) automatically. To view room schedules, select Schedule Qry (CSISCHE) in the navigation frame.

  17. Projected is the date after which an event can be scheduled. This applies only to events created using the Automatic Event Creation process (CSPAECP).

  18. To make ACS Contexte override any scheduling conflicts it encounters when you save the current event, enter C in the Confirm field. If you want ACS Contexte to perform conflict-checking, leave this field blank.

  1. Enter any Event Text that should be attached to this Case ID and Event.

  2. From the Block menu, select Next. ACS Contexte moves to the Case/Event Parties block, which displays the parties on the current case in sequence number order (the order they were added to the case or event). To view associated parties, select Party Associations in the navigation frame.

  3. Generate/CAUTION4.gif If you are entering a non-case related event, the system does not move to the Case/Event Parties block and you cannot access it. Go to step 17 and continue.

  4. To add a party or delete a party for the event, click here.

  5. Generate/DRAW20.gif Any of the case parties can be deleted from the event without deleting them from the case.

  6. To schedule the event on additional cases (including related and consolidated cases), select Schedule Related/Consol in the navigation frame.

  7. Save. If you left the Confirm field blank, ACS Contexte checks for scheduling conflicts. If it doesn't find any, it schedules the event; if it does find a conflict, an Auto Hint message alerts you to the type of conflict and the event is not saved. Tips for resolving conflicts

  8. If you are saving a multiple-day event, the Schedule Conflict Validation window appears. If no conflict exists, the window closes. If a conflict exists, ACS Contexte pauses so you can override the conflict or change the schedule.

  9. To perform additional related tasks, scroll to the desired event or party and select the appropriate option in the navigation frame.

  10. Generate/CAUTION4.gif This step does not apply if you are entering a non-case related event. Go to step 21.

  11. When you've finished, Exit the Event Scheduling form (CSAEVNT).
