Use the Sentence tab of the Related Disposition form (CMADISP) to enter, change, or delete sentences for a case and party. If necessary, you can enter a sentence for the current party on other cases as well. You can also assign violations associated with the case and party to the sentence.

Only the current sentence information displays on this tab. You can view a history of sentence changes/deletions by selecting Sentence History in the navigation frame. This option is enabled only if changed or deleted sentences exist for the case ID currently highlighted on the Sentence tab.

To enter a sentence

  1. The system determines if disposed violations exist for the Case ID and Party ID at the top of the form and if those dispositions should have a sentence associated with them. If so, that Case ID defaults into the Sentence tab, but you can change it to another case involving the same party. However, Contexte accepts the other case only if it has a disposition record requiring sentencing.

  2. If an existing sentence record displays when you open the Sentence tab, click here for more information.

  3. Enter or select the Violation Code for which you want to enter a sentence. The system fills the description field automatically.

  4. Generate/DRAW21.gif The list displays only the violations disposed with a disposition code allowing entry of a sentence.

  5. If the party has more than one count for the same violation, enter or select the appropriate Viol No (Violation Number).

  6. Enter or select a Sentence code. The description displays in the field to the right. ACS Contexte fills the Seq (Sequence) field automatically. Use this number to assign consecutive or concurrent sentences.

  7. The list of sentence codes has a column titled Inc (Incarceration). Each code has either a Y or an N in this column to indicate whether incarceration is part of the sentence.

  8. Enter the Length of the sentence and select the time unit (hours, days, months, years) to display in the unlabeled field to the right.

  9. Enter the Suspended Length (amount of the sentence that has been suspended) and select the time unit (hours, days, months, years) to display in the field to the right.

  10. In the Cons (Consecutive) and Conc (Concurrent) fields, enter the sequence number of any sentence to be served consecutively or concurrently with the sentence you are currently entering.

  11. Enter any time Served prior to sentencing and its time unit (hours, days, months, years).

  12. Enter the Signed date.

  13. Enter the Start date for the sentence.

  14. Enter a Probation date if applicable.

  15. Enter or search for the Judge who handed down the sentence.

  16. Enter the Completion date for the sentence.

  17. If necessary, enter additional information about the sentence in the free-form Text field.

  18. Enter the Docket for the sentence or select one from the list.

  20. To enter fines, select Fines in the navigation frame.

  21. Any violations for the case and party display in the violations block. You can scroll through the violations. The following information appears:

To assign or unassign violations to a sentence

  1. Enter or select a Sentence Code. The system enters the code Description. Save.

  2. Select Next from the Block menu to access the violations area. Violations already assigned to a sentence have the Sel (Selection) box checked.

  3. Scroll to the violation record you want. To assign it to a sentence, click the Sel (Selection) box. If it is already selected, click the box to clear it and unassign the violation from a sentence.

  4. Save. Selected violations are assigned to the sentence. All violations continue to display after selections are made. If you entered sentence or docket codes that automatically create fines or fees, ACS Contexte creates an accounts receivable record for the party.

To change or delete a sentence

  1. Scroll to the sentence you want to change or delete. Restrictions on changing/deleting a sentence

  2. To change a sentence:

    1. Select the sentence you want to change.

    2. Change any information except Violation Code, Viol No, Remain, and Docket. If no docket code for the sentence was entered previously, you can enter one now.

    3. Generate/DRAW.gif If the current docket is sealed and you are not permitted to view sealed dockets, you will see *SEAL or ***SEALED DOCKET*** in place of  the actual docket information. More Information.  

      Generate/DRAW25.gif If the new sentence code is associated with a case status on the Case Status Rule form (CTRCSTS), case status can be changed automatically. The original sentence date is retained when you change the sentence record. If you need to change the date of the case status change, you can do so manually on the Case Status Maintenance form (CDACSTS).

    4. To enter or change fines, select Fines in the navigation frame.

  3. To delete a sentence:

    1. Select the sentence you want to delete.

    2. Select Delete Sentence in the navigation frame.

    If the sentence record has other violations that can be sentenced, you see an alert asking if you want to delete the sentence you selected.
     

    If you click OK, any association of the sentence to any disposable violations is removed and moved to sentence history. If you click Cancel, no changes are made and the alert closes.

    If the sentence you want to delete has site-defined data assigned to it, you see an alert warning you that site-defined data for the code will also be deleted.

    If you click OK, the site-defined data is removed when the sentence is deleted. If you click Cancel, no changes are made and the alert closes.
     

  4. Save. If your jurisdiction requires entry of a reason code for a record change, the Change Reason window opens. Enter a Reason code and click OK to save the change or Cancel to abort the plea record change/deletion.

    If your jurisdiction does not require entry of a reason code, you can save without one. However, you always have the option of manually entering a reason code by selecting Change Reason in the navigation frame. More about the Change Reason window

  5. To view the history of changed sentences, select Sentence History in the navigation frame.
