Generate/CHICLET20.gif Fields


Use the Party tab of the Case Initiation Maintenance form (CMAINIT) to add or query on parties to a case. A party must exist on a case before you can enter information on the Demographics, Violation, Arrest, or Traffic Detail tabs. You can also add content files (for example, text documents, pictures, sound files, or movies) to a new or existing party record.

You can return to the Party tab at any time to add information as necessary.

To enter a party

Generate/DRAW20.gif To  check for previous associations between the defendant and an attorney in the system, enter the defendant party type before selecting Attorney Assignment.

  1. Enter the Party Type or select one from the list. For more about party types that ACS Contexte assigns automatically, click here.

  2. The Security level defined for the party type on the Party Type Code Rules form (CTRPTYP) defaults into the field, but you can change it. 1 = lowest security; 9 = highest security.

  3. Enter, generate, or search for a party ID.

  4. Generate/DRAW20.gif If the ID has an outstanding service letter, the system alerts you to this fact. More Information.

  5. If the party is not already in the system, select either the Person or Organization button, then enter the Last Name, First Name, and Middle Name or the Organization name.

  6. Enter any Prefix or Suffix used in the party's name.

  7. Enter or search for the Address Type.

  8. Generate/DRAW22.gif If you enter a new address and address type, you can enter a phone number on this form. if you select an existing address for the party that does not have a telephone number associated with it, you must use the Identification form (CPAIDEN) to enter a number for the party's address.

  9. Enter the street Address. You can use two lines if necessary.

  10. To make the party's address information confidential, select the Confidential Address check box.

  11.  If you select or enter a party and address type already in the system, the address may already be marked confidential. If you uncheck the confidential check box, the address will no longer be confidential anywhere in the system.

  13. Enter the County.

  14. Enter the Phone number. To enter additional phone numbers, select Person/Org Mnt (CPAIDEN) in the navigation frame, then select the Telephone sub-tab of the Address/Phone tab on CPAIDEN.

  15. Enter an Email address.

  16. Email addresses are tied to address records.  If you record more than one address for the person, each address can have an email address recorded with it. If the person's address is confidential (see the note under step 8), the email address is also confidential.

  17. Enter or select a Party Status for the party on this case. The system fills the Status Date and Status Time with the current date and time. You can change either one to a date or time prior to the current date and time.

  18. Generate/DRAW18.gif An existing party on a case may have a status that resulted from a docket code applying a rule set up on the Party Status Rule form (CTRPSTS). If necessary, you can change that status here. For more information on CTRPSTS, see the ACS Contexte Setup Manual.

  19. Attach a content file to a new or existing party entry. To learn how to:

  21. Save. An alert may appear, asking if you want to associate the party with another. If so, click OK to open the Party form (CDAPRTY)

  22. Generate/DRAW20.gif To enter another party, you can select Next or Insert from the Record menu. Contexte saves the information entered and returns you to the Party Type field. The system may also display an alert, asking if you want to associate the party with another as explained above.

  23. To enter an alias for the party, select Alternative Name in the navigation frame.

  24. To automatically assign an attorney for the defendant on the case, select Attorney Assignment in the navigation frame.

  25. Generate/DRAW23.gif To have the system check for previous associations between the defendant and an attorney in the system, enter the defendant party type before selecting Attorney Assignment.

  26. To enter another party, select Next or Insert from the Record menu to return to the Party Type field. Contexte automatically saves the information you entered.

  27. To access other forms to view additional information or perform additional tasks:

  28. Scroll to the desired record.

  29. Select the appropriate option in the navigation frame.
